ILLUSTRATIVE EXAMPLE · NOT A CLIENT RESULT

A small test for a Tulsa HVAC shop.

This shop is hypothetical. No records have been reviewed. The figures below are example assumptions, not a forecast or a personalised audit.

01 · Start with one segment

Recent, unaccepted repair estimates for existing customers. Your office checks the work is still needed, contact is eligible, and there isn’t already an appointment. Confirm counts from your own records before sending.

02 · Check the economics first

Example only: $650 collected per completed job − $350 in labour, parts and other direct costs = $300 contribution per job. Covering a $1,500 founding fee takes 5 completed, paid jobs; a $3,500 standard fee takes 12. Separate platform fees raise that threshold. These are break-even counts, not expected results.

03 · A practical 90-day schedule

Days 1–14: agree the segment, capacity, tool and measurement; approve copy and audience in writing. Days 15–30: send a small approved batch and review replies. Days 31–60: adjust the message and next eligible group. Days 61–90: follow up where appropriate and report booked, completed and paid jobs separately. The full sprint allows about 12 emails across 3 waves; each customer receives only relevant follow-ups.

04 · Two sample emails

Subject: Still need help with [repair]?

Hi [first name],

We sent you an estimate for [repair]. If you still need a hand, reply here and we’ll check the details and find a suitable time. If you’ve already sorted it, let us know so we can update our notes.

Thanks,
[your shop]

Subject: Should we close the loop on [repair]?

Hi [first name],

A quick follow-up on your estimate. Would you like us to revisit it, or has the work already been taken care of? Reply either way and we’ll update your record.

Thanks,
[your shop]

Use confirmed shop details and the sending platform’s unsubscribe controls. These drafts are not approved for sending.

05 · Who does what

You confirm eligibility, margins and spare appointments; approve the audience and emails; then confirm booking, completion and payment status. We write, schedule, handle replies, pass enquiries to your office and keep the weekly log. We agree account access and data handling before an export.

06 · The next step

Reply with questions. If the numbers support a test, we agree the written scope and fees, then send an invoice. No campaign starts without your written approval. If capacity or margins don’t support it, we recommend waiting or using your existing tools.
